You see exactly how your logo will look before a single hat is stitched. Here is the full process.
What Is a Digital Proof?
A digital proof is a visual mockup showing how your embroidered logo will appear on the hat — including stitch placement, sizing, thread colors, and any adjustments made during digitizing. HatDayShop sends this before any production begins. Nothing gets stitched until you approve it.
Proof Process — Step by Step
- You place your order and upload your logo file at checkout or email it to support@hatdayshop.com
- HatDayShop reviews your file for embroidery compatibility — checking size, detail, and color count
- Digitizing — your logo is converted into an embroidery stitch file (free at 12+ hats; $45 fee under 12)
- Digital proof sent to you — shows the logo as it will be stitched, with placement, dimensions, and thread colors
- You review and approve — or request changes. Revisions are handled before any production begins
- Test stitch — HatDayShop performs an internal test stitch to verify real-world accuracy before the full run
- Full production — approximately 10–14 business days after proof approval
What to Check on Your Proof
- Is the logo placed where you expected (front, side, back)?
- Are the thread colors close to your brand colors?
- Is the size correct relative to the hat?
- Is any text legible at the stitched size?
- Are any fine details simplified — and do the simplifications look acceptable?
Turnaround for Proofs
Proof turnaround is approximately 3–5 business days from when your order is placed and artwork received. Production timeline of 10–14 business days starts after proof approval.

No. The digital proof is included with every order. Digitizing itself is free at 12+ hats.
What if I don’t like the proof?
Request changes. HatDayShop will revise and re-send before production begins. Nothing is stitched without your sign-off.
Is the test stitch the same as the digital proof?
No — the digital proof is a visual mockup. The test stitch is an actual physical stitching done in-house before the full run, to catch any real-world issues not visible in the digital proof.
What happens on reorders?
If your artwork is unchanged, reorders use the stored digitized file. No new proof is required unless you make changes.
